2. Information collected and purposes
The contact form collects your inquiry type, name or company name, email address, optional phone number, and message. When further information is needed for a consultation or contract, we request only what is necessary.
Responding to inquiries, clarifying requirements, preparing estimates and related communications
Commissioned production, development and maintenance, delivery, invoicing and business communications
Related support, issue resolution and safe service operation
Compliance with legal obligations and retention of necessary records
Where use beyond these purposes requires consent, we obtain it in advance unless permitted by law. Sending an inquiry does not subscribe you to advertising emails.
3. Third parties and service providers
We do not provide personal data to third parties without your consent except where permitted by law. Website delivery, inquiry processing and email services may be entrusted to external providers within the scope necessary for our work. We carry out the necessary checks and supervision of those providers and their handling of the information.
Where handling by a provider outside Japan is involved, we carry out the disclosures, consent procedures or checks on protective measures required by applicable law.
4. External services and browser storage
Netlify: Website hosting and contact form processing. IP addresses, access information and inquiry contents may be processed in providing these services.
Xserver: Sending and receiving inquiry emails. Information entered in the form is delivered to our staff by email.
Google Maps: Displaying our location. Loading the map may send your IP address and browser information to Google and may involve cookies or similar technologies.
We use localStorage and sessionStorage for display language and initial display settings. Inquiry contents are not saved in these settings.
Please also refer to each provider’s policy. Browser settings can restrict cookies and similar technologies, although some functions may become unavailable.
Our representative reviews and manages inquiry emails. We limit access to information to what is needed for work and address unauthorized access, disclosure and loss through account management, protection of communications and checks on providers. Questions about our safeguards are answered within a scope that does not compromise security.
Inquiry records are retained for the period needed for responses, estimates and related support. After a matter closes, we regularly review the need for retention and delete or appropriately dispose of records no longer needed for business or legal reasons. Contract and invoice records are retained for legally required periods and as necessary to perform contracts and protect rights.
Deletion reviews also cover email, business files and copies. Logs and backups held by external services are handled according to those services' retention and deletion mechanisms.
6. Project materials and generative AI
We use generative AI tools such as Claude Code and Codex for development assistance, including writing code. The current contact form does not automatically send its contents to generative AI.
Our basic policy is not to input customer names, contact details, inquiry contents or non-public materials into generative AI without prior review. Where needed for development, we minimize input by removing unnecessary personal information or replacing real data with sample data.
If personal or confidential materials are needed, we check the purpose, sharing scope, service contract and settings, retention and training-use terms, and provide explanations, obtain necessary consent and follow legally required procedures.
7. Information requests and concerns
For notification of purposes, disclosure, correction, suspension of use or third-party provision, or other requests concerning personal data held by us, contact the address below. We verify your identity and respond in accordance with applicable law. We also accept questions and complaints about safeguards and information handling.
We review this policy when laws or services change and publish updates on this page. Where separate notification or consent is required by law, we follow the necessary procedures.
